Privacy notice

This notice explains how Brian Bathe, an Ohio sole proprietor doing business as WXNetMan (“WXNetMan,” “we,” “us”), handles information when you visit this website, request access, or use the WXNetMan application. An organization’s use of the application is also covered by the Data Processing Addendum. An organization using WXNetMan may have additional policies governing the operational information its members enter. If your organization has a written agreement with us, that agreement also applies. It controls pricing as described in the Terms of use.

Who this notice covers

The application is intended for organizations in the United States only. We do not knowingly target or offer the application to organizations in the European Economic Area. If an organization is located in the EEA, it must not use the application.

Information we collect

Marketing website

The public website does not offer user accounts or a public sign-up form. It does not use advertising, analytics, or tracking cookies, and it does not load third-party scripts. We do not respond differently to Do Not Track signals because the marketing website does not use tracking technologies.

If you contact us by email, we receive the information you choose to include, such as your name, email address, organization, and operational needs.

The content delivery network that delivers the website records standard access logs. Those logs can include the request time, URL, IP address, and browser user agent. We do not include cookies in those logs. Logs are stored in the United States and expire after 30 days. We use them to operate, secure, and troubleshoot the site.

WXNetMan application

The application processes:

• Account information, including email address and sign-in credentials
• Organization membership, display name, operator call sign, usual duty title, role, and organization settings
• Weather Net operational information, including report answers, timestamps, assignments, notes, and delivery results
• Technical and security information needed to authenticate users, maintain service reliability, investigate errors, and audit administrative or corrective actions

The application uses session cookies and similar technologies to authenticate users and keep a secure session. These are necessary for the application to function. They are not used for advertising or cross-site tracking.

The application records technical logs, including sign-in events, errors, and administrative or corrective actions. Those logs can include timestamps, account identifiers, and technical details needed to secure and operate the service. Logs are stored in the United States and expire after 30 days.

Amateur radio call signs also appear in the public FCC license database. That public listing does not change how WXNetMan treats a call sign entered in the application. Call signs in WXNetMan remain organization operational information, and the organization controls how they are used in the application.

How we use information

We use information to:

• Respond to access requests and support inquiries
• Provide and secure the WXNetMan service
• Maintain organization membership and role-based access
• Process, display, route, and preserve authorized operational reports
• Monitor reliability, troubleshoot issues, and prevent misuse

We do not use operational reports, even in aggregated or anonymized form, for analytics, advertising, or marketing.

Information sharing and delivery destinations

We do not sell personal information. We use cloud infrastructure, content delivery, and email delivery providers to host the service, deliver the public website, and send account or operational messages. We may update these providers from time to time. Information held by those providers is also subject to their policies.

When an authorized operator finishes a report, they may send it to destinations their organization configures, such as configured email recipients, Slack, Discord, or Teams. Those destinations are chosen by the organization, not subprocessors we appoint. Information sent there is also subject to the recipient organization’s and those providers’ terms and policies.

Organization separation and access

WXNetMan keeps organizations separate from each other. Access is invite-only and controlled through organization membership and assigned roles. A person who belongs to multiple organizations uses one account but has organization-specific memberships, names, and roles.

Data ownership

Organizations retain ownership of operational reports, notes, assignments, and exported records they enter into WXNetMan. WXNetMan does not claim ownership of that organization content. We process that information only to provide, secure, maintain, and operate the service, and to meet security and operational record-keeping needs.

Data location

The application is hosted in the United States on Amazon Web Services. Operational information is processed and stored in the United States. We do not host the application outside the United States.

The marketing website is stored in the United States. A content delivery network may serve those pages from edge locations in North America and Europe. Website access logs are stored in the United States and expire after 30 days.

Service providers

WXNetMan uses service providers to operate and deliver the service, including:

• Cloud hosting, storage, compute, and monitoring (currently Amazon Web Services)
• Content delivery for the public marketing website
• Email delivery for account and operational messages

Service providers are authorized to process information only as needed to provide the WXNetMan website and application.

Account removal and deletion

If an organization removes a member, that ends that organization’s membership only. It does not delete the person’s account if they still belong to another organization. It does not erase operational records. Reports, notes, and related net records keep attributing that work to the person, including display name and operator call sign, so the historical record stays intact.

If you want your account and personal information deleted, email support@wxnetman.com. We will remove sign-in credentials and contact information on the account. Operational records entered while you were a member keep attributing that work so historical net records stay intact.

An organization contact may ask us about export or deletion of organization records. For questions, contact your Net Manager or email support@wxnetman.com.

Retention

We retain operational records while an organization’s account is active and for at least 60 days after we close the organization, so the organization can request export. We will notify the organization contact we have on file when an organization’s account is closed and again 14 days before records may be deleted. After that 60-day period, we may delete those records. Export records your organization is required to keep. Do not treat WXNetMan as the primary records repository. An organization contact may ask us to delete organization data. Marketing website access logs and application technical logs expire after 30 days, as described above.

Security

WXNetMan uses authenticated access, role-based permissions, and organization-scoped data handling. Information in the application is encrypted in transit using HTTPS/TLS. We use technical and operational controls to protect the information entrusted to the application. No internet service can guarantee absolute security.

If we confirm a security incident that affects personal information, we will notify the organization contact we have on file and affected account holders at the email address on the account, as required by applicable law and as promptly as reasonably possible. We will notify no later than the deadline required by applicable law, unless law enforcement requires a delay.

Children

This website and the WXNetMan application are not directed at children under 13. We do not knowingly collect personal information from children under 13. If we learn that we have, we will delete it. An application account is for someone 18 or older. Organizations must not invite anyone under 18.

Your choices

You may choose what information to provide in an access request.

An invited user can edit Display name, Operator call sign, and Usual duty title in the application.

A Net Manager can remove a member from an organization. That ends membership. Historical reports in that organization still attribute the work to that person. Removing a member does not erase those records or the attribution on them.

To request deletion of your account credentials and contact information, email support@wxnetman.com. For access, correction, export, or deletion of organization records, contact your Net Manager or email us.

State privacy rights

Residents of states with applicable privacy laws may contact us at support@wxnetman.com to exercise rights under those laws, including the right to know, correct, or delete personal information. We do not sell personal information. We will not deny the service because you exercise those rights. Deletion of account credentials and contact information, and what stays in historical net records, is described above.

California residents have those rights under the CCPA/CPRA.

Data processing addendum

The Data Processing Addendum is part of the agreement for an organization’s use of the application. If your organization needs a signed copy, email support@wxnetman.com. We will sign the published text. We do not negotiate a different standard DPA for each organization.

Changes to this notice

We may update this notice. The “Last updated” date above identifies the current version. If a change is material, we will notify account holders at the email address on the account, or the organization contact we have on file, at least 30 days before the change takes effect. Changes needed to comply with law or to address security or misuse may take effect on posting.
